Team & Users
A person invited in one region can't sign in from the other. Atanzo AI keeps a separate account directory for the US and the EU, and every user lives in exactly one of them. Invite people in the region they'll actually work from — see Multi-Region Considerations below before you invite someone you think might be in the "wrong" region.
The Users settings area lets you invite team members, assign roles, and manage who has access to your Atanzo AI account.
Accessing User Management
Navigate to Settings › Users at /app/settings/users. Only Administrators can see and use this area — see Roles below.
Inviting a User
- Click Invite User.
- Enter the person's email address.
- Select the appropriate role.
- Click Invite.
The invited user will receive an email with instructions to set up their account and sign in.
Roles
Atanzo AI has two roles, chosen from the Role dropdown when you invite or edit a user:
- User — can sign in and use whatever the account has been set up to let them do (run guided tasks, use assigned tools, see specific projects, and so on). A User cannot manage the team: they cannot see the Users settings area, invite or remove people, or change anyone's access, including their own.
- Administrator — everything a User can do, plus full control of the account: inviting and removing team members, changing roles, adjusting what each person is allowed to access, and managing account-wide settings (billing, agents, integrations).
Beyond the role itself, each person can also be given a specific set of permissions — which tools they can use, which features are turned on for them, and which projects or content areas they can see. Two Users can have very different day-to-day access even though they share the same role.
The "run-only" pattern
A common and useful shape for field staff or contractors is a User account whose permissions are limited to running the specific task or coaching session they need — nothing else. This isn't a separate role; it's simply a User account with a narrow set of permissions turned on. Because it's still a User account, it structurally cannot administer the team, change settings, or see anything beyond what was explicitly granted. This is a good default for anyone who only needs to show up, run their assigned task, and sign off — no training on the admin side required.
Who should have which role
Pick a shape based on how your team actually operates:
- Small team, everyone administers. For a handful of people who all need full visibility (a founder-led team, a small pilot), it's simplest to make everyone an Administrator and skip fine-grained permissions entirely.
- Field staff who only need to run tasks. For technicians, trainees, or contractors who show up and run one or two guided tasks, invite them as Users with the run-only pattern above: no account management, no unrelated tools, just what they need to do the job.
- Mixed team. For most growing teams, a couple of trusted people hold the Administrator role (managing the roster, permissions, and billing) while everyone else is a User with permissions scoped to their specific projects or tools. This keeps account management concentrated in a few hands while still giving each person exactly the access they need.
Deactivating a User
To remove a user's access, locate them in the user list and open their actions menu (the three-dot or "More" control at the end of the row), then choose Deactivate. Deactivated users cannot log in, but their session history and any work they contributed is retained. You can reactivate a deactivated user at any time from the same menu.
Multi-Region Considerations
Atanzo AI operates separate US and EU regions, each with an independent user directory. A user is tied to the region they signed up in.
If your team needs to work across both regions:
- Users must be invited separately in each region they need to access.
- A user's login account in one region cannot sign in to the other region — each region has its own user directory.
- Make sure you are managing the correct region when inviting or deactivating users — check the region indicator in your account settings if you are unsure which region you are currently viewing.
